Nutrition Communications and Administration Officer (Maternity Cover)

Nutrition Graduate Position

Responsible to: Deputy Chief Executive

Usual hours of work: 21 hours per week, working pattern to be agreed between the post holder and the Deputy/Chief Executive. Occasional out of hours working or travel within the UK may be required, for which time off in lieu will be given.

About the role

As the Nutrition Communications and Administration Officer you will support the daily operation of the Association for Nutrition, providing communications and administrative support to the Chief Executive and Deputy Chief Executive with occasional support to Honorary Officers.  This position provides support across the organisation.

Your duties will include administrative support to the Executive, communications activities (including newsletters, social media and website), registrant support and support to our Course Certification scheme. As the Nutrition Communications and Administration Officer you will be the first point of contact for general queries from both registrants and the public about core aspects of the AfN work, including Course Certification, advising on study and career options for those wishing to work within nutrition and support to registrants regarding nutrition regulation and practice queries. You will be responsible for producing registrant and public facing materials, as well as representing AfN at events, providing talks and assisting the Chief Executive and Deputy Chief Executive with projects and activities.

This role is a graduate, entry level role. You will be supported by the Deputy Chief Executive in the application of your nutrition science knowledge and understanding to professional practice, continual professional development and the opportunity to develop your portfolio of evidence for transfer to Registered Nutritionist status.

This role is open to Registered Associate Nutritionists (ANutr) (or graduates from an AfN Accredited Degree intending to become an ANutr within the next 3-months).

Job Description

Main Duties

Administration

You will be competent in administrative duties including:

  • Providing administrative support to the Executive
  • Use of Microsoft Office packages, including SharePoint, Outlook, Word and Excel
  • Acting as an initial point of contact for external contacts by dealing with telephone calls, email queries and postal correspondence
  • Dealing appropriately with general enquiries from stakeholders in relation to AfN and its work
  • Working closely with other colleagues within AfN, to ensure clear communication about the different strands of our work
  • Dealing appropriately with general queries from all stakeholders in relation to the AfN and its work
  • Supporting the general operation of the AfN Office

Communications

You will need to be a confident, accurate and fluent writer, used to editing other’s written work with a good ‘eye’ for layout and graphic design in order to maintain and develop our credibility and authority in the field.

  • Working closely with colleagues within the AfN, to ensure clear communication about the different strands of our work
  • Support the preparation of newsletters, reports and feedback to Council, Committees, UKVRN registrants and team
  • Maintain and extend the use of AfN website and social media to communicate messages/ information to registrants, the public and key stakeholders,
  • Updating the AfN website with new/revised material and with correct descriptions of CPD endorsed learning activities and certified courses
  • Compile, write and edit ad-hoc content for other journals/ print media with whom we collaborate
  • Supporting the drafting and reviewing of communication resources for the purposes of recruitment, retention and renewal communications
  • Make all arrangements for our participation, and help at events, such as New Scientist Live, Good Food Show and NS Conferences
  • Create online surveys; including UKVRN registrant, event feedback and lapsed surveys; report on results & trends and take relevant action
  • Assist in the organisation of the AGM, Council and annual discourse and occasional training events which support operational activity, such as assessors training
  • Support delivery of AfN activity at a regional level, to engage and retain registrants through regional activity and local networking & CPD opportunities
  • Support the development and issuing of press releases, position statements and consultation responses
  • You will maintain and manage the media panel of Registrants for responses to press requests

Quality Assurance

You will be responsible for ensuring a high degree of accuracy with the data you input and the materials you produce, as this is essential to the smooth running of the AfN.

  • Processing applications for AfN Course Certification (including screening, assessment allocation, financials and correspondence)
  • Maintaining an electronic system to ensure the list of Certification volunteer assessors is up to date with the correct contact details
  • Supporting the DCEO in ensuring assessors are suitably trained
  • Issuing certificates to those completing certified courses
  • Acting as initial point of contact for Course Certification enquiries by dealing with telephone calls and monitoring emails in the Certification mailbox
  • Developing opportunities to expand the Certification scheme and uptake
  • Aiding the processing of assessments of registrants annual CPD reviews, supporting assessors with training and registrant communications

Person Specification

Knowledge, Training and Experience

Essential

  • Registered Associate Nutritionist (or graduate from an AfN Accredited Degree who is intending to register within next 3-months)
  • Experience of using  Microsoft Office applications, particularly Word, Excel and Outlook

Desirable

  • Experience of working in a customer service environment
  • Experience of data entry and/or using and maintaining a membership/contacts database
  • Experience of producing communications materials
  • Experience and knowledge of working with a CMS to update website content and competent at generating and managing content on multiple social media channels
  • Experience of processing applications or co-ordinating assessments
